10 Time-Saving Hacks for Marketing Cloud Account Engagement (MCAE / Pardot)
Marketing Cloud Account Engagement (MCAE), formerly known as Pardot, is a powerful tool for B2B marketing automation — but it often feels limited when you need more control over data, routing, and automation. That’s why we built the MCAE Toolbox: a free set of tools that extend MCAE’s capabilities with external actions and flow actions.
In this post, we’ll explore 10 practical hacks that save time, improve data quality, and unlock new automation possibilities. These are all powered by the MCAE Toolbox — meaning you can try them today without custom code.
Date & Sync Hacks
Hack 1: Prevent Sync Errors from Date Formats
Ever had MCAE fail to sync a record into Salesforce because of mismatched date formats? With the Date Value action, you can reformat inconsistent dates (MM/DD/YYYY vs DD/MM/YYYY) before they sync — ensuring smooth integration and fewer sync errors.
Example: A European prospect fills out a form with “31/12/2025” and MCAE tries to sync it to Salesforce. Use Date Value to reformat into “2025-12-31” so the sync succeeds.
Audience Management Hacks
Hack 2: Route Prospects Beyond MCAE Limits
MCAE can only assign ownership when creating new CRM records. With the Change Owner action, you can reassign prospects instantly via completion actions or Engagement Studio — no more waiting for Salesforce sync.
Example: Re-assign a specific product's demo requests directly to a specific user so they can get the immediate focus and attention needed.
Hack 3: Clean Up Spam or Test Records Automatically
Bad data clogs up your database and reporting. With the Delete Prospect action, you can automatically remove spam sign-ups or internal test records by sending them to the recycle bin before they ever sync.
Example: If a form submission contains a fake email domain like “test.com” or “abc123.com”, MCAE can instantly delete the prospect so it doesn’t impact your campaigns.
Hack 4: Auto-Convert Leads on Key Actions
Some activities signal high intent, like submitting a “Request a Demo” form. With the Convert Lead action, you can auto-convert these prospects into Opportunities immediately, keeping sales cycles moving fast.
Example: When a prospect submits a pricing request form, MCAE converts the lead to create the Account, Contact and Opportunity.
Data Quality Hacks
Hack 5: Fix State/Country Values
Stop losing syncs over messy location data. The Vlookup action can standardize free-text values like “CA”, “Calif.”, and “California” into Salesforce-compliant picklist values.
Hack 6: Normalize Job Titles & Industries with Vlookup
Free-text job titles and industries can be a nightmare. Use Vlookup to normalize “VP Marketing,” “V.P. of Marketing,” and “Vice President Marketing” into a single standardized value.
Hack 7: Concatenate Data
Sometimes you want to capture information and add it to other details. With Set Value, you can concatenate into a single field.
Example: You want to add comments from a new form submission to a list of comments collected.
Hack 8: Fix Formatting Errors in Form Data
Bad form inputs ruin data quality. Use Replace to clean up submissions. Strip spaces/dashes from phone numbers, or remove/replace prefixes.
Example: A phone number entered as “(123) 456-7890” can be cleaned with a regex \\D replacement, keeping only digits: 1234567890. This ensures uniform phone number formatting across all records.
Engagement & Ops Hacks
Hack 9: Randomize Nurture Paths
Need to A/B test nurture journeys? With Random Number, you can split audiences into randomized groups and send them down different Engagement Studio paths.
Hack 10: Auto‑Archive Test & Demo Submissions
Keep ops data clean by automatically sunsetting short‑lived records. Use Add Days to set an archive date on test/demo submissions, then remove them with Delete Prospect once they expire.
Example: On your "Sandbox/Demo" form, set a custom field Cleanup Date to 21 days out. Combine this with an Engagement Studio Program that runs looking for these prospects and using the Delete action mentioned previously in this post.
Wrapping Up
These 10 hacks show how the MCAE Toolbox extends Pardot far beyond its out-of-the-box limits — giving Marketing Ops teams more control, cleaner data, and faster automation.
